Overview

Using the Publish to Web option you can create URLs that can be:

  • Bookmarked in your browser
  • Shared via email
  • Embedded in a public or private website

Published URLs content is automatically updated whenever the linked chart document is updated. This means that your intranet org charts are automatically synchronized with your HR System (no need for manual steps to keep charts synced).

When you click on the urlgenerator.png Publish to Web button (in the SHARE RIBBON), the URL Generator is displayed in a new browser tab. You can then use the URL Generator to create a URL that opens a specific chart.

URL Types

There are three types of URLs available (Select the Link Type you want to create in the URL Generator Page).

  • Public - Chart can be accessed by anyone on the internet
  • Private - Chart can only be accessed by someone with a valid user id (within your OrgChart Account)
  • Restricted - Chart can only be accessed from a specific set of intranet sites (e.g. embedded in your SharePoint Site.

Creating Public URLs

To share a public chart:

  1. Create a read only account specifically for sharing public charts (if you don't already have one created). See the User Management topic for instruction on how to create a read only account.
  2. Save a copy of your chart into the Public folder
  3. Specify the User ID (see step 1)
  4. Specify the file name of the Org Chart
  5. Set presentation options for the chart:
    • Functionality - Control access to the File Manager, Export to Excel and Publish Document functionality.
    • Initial Tab - Specify which panel is initially shown when a user opens the chart.
    • Background Color - Specify the background color for the area around the chart page 'FFFFFF' (or white) is recommended. You can find a HEX Color picker here.
    • Zoom Level - Specify the initial zoom level for the chart.
    • Hide Tabs - Optionally use can hide the Profile Panel and/or Subcharts Panel.
    • Division - Optionally specify the initial division to display. See the Multi-chart Documents for more information.
    • Top Box - Navigate to the box matching the <id> (default is top of chart)
    • Mouse Wheel - Turn off mousewheel zoom (if chart is embedded in an iframe, the mousewheel may not work as expected)
  1. Click on the 'Test URL' button to view the chart in a new browser tab. Click on the 'Generate URL' button to update the URL after setting options. You can then copy the shown URL and use as desired.

Creating Private URLs

To share a private chart:

  1. Specify the file name of the Org Chart
  2. Specify the directory where the Org Chart is stored (See the File Manager for more details)
  3. Set presentation options for the chart:
    • Functionality - Control access to the File Manager, Export to Excel and Publish Document functionality.
    • Initial Tab - Specify which panel is initially shown when a user opens the chart.
    • Background Color - Specify the background color for the area around the chart page (FFFFFF is recommended - FFFFFF corresponds to white).
    • Zoom Level - Specify the initial zoom level for the chart
    • Hide Tabs - Optionally use can hide the Profile Panel and/or Subcharts Panel.
    • Division - Optionally specify the initial division to display. See the Multi-chart Documents for more information.
    • Top Box - Navigate to the box matching the <id> (default is top of chart)
    • Mouse Wheel - Turn off mousewheel zoom (if chart is embedded in an iframe, the mousewheel may not work as expected)
  4. Click on the 'Test URL' button to view the chart in a new browser tab. Click on the 'Generate URL' button to update the URL after setting options. You can then copy the shown URL and use as desired.

Note: Any user that needs to access a Private URL make have active user login.

Creating Restricted URLs

To embed a chart in your intranet:

  1. Email technical support with the URL of your intranet site(s). We will add the URL to an access list that limits access to restricted URLs (so the URL will only resolve if launched from your intranet site). Restrictred Links will not function until this step is complete.
  2. Specify the file name of the Org Chart
  3. Specify the directory where the Org Chart is stored (See the File Manager for more details)
  4. Set presentation options for the chart:
    • Functionality - Control access to the File Manager, Export to Excel and Publish Document functionality.
    • Background Color - Specify the background color for the area around the chart page (FFFFFF is recommended).
    • Zoom Level - Specify the initial zoom level for the chart
    • Hide Tabs - Optionally use can hide the Profile Panel and/or Subcharts Panel.
    • Division - Optionally specify the initial division to display. See the Multi-chart Documents for more information.
    • Top Box - Navigate to the box matching the <id> (default is top of chart)

  1. Click on the 'Generate URL' button to generate a URL. Copy the URL and embed in your intranet site by adding an 'org chart' link or adding an iFrame (containing the link).

Note: All HTML based intranet platforms are supported. Examples include Google Sites, WordPress Sites,SharePoint Sites and HR Systems such as PeopleHR.
